Administrative Assistant

Performs various administrative and receptionist functions such as semi-repetitive operations following standardized methods and procedures: multi-task in a fast-paced environment; adjust priorities to assist with all levels of personnel and communicate efficiently.  Clerical tasks include but not limited to scanning, faxing, data entry, and processing mail.  Answering telephones and answers questions or convey/routes message to appropriate staff.

Administration Specialist

The Administration Specialist is responsible for backing up Neighbor Island Properties with their mailing. Back up the receptionist when needed and backup Covenants/Design when the admin is on leave. Clerical and administrative functions will be part of the daily tasks in addition to assisting with chargebacks.

AP Scanning Clerk

Responsible in performing all the clerical functions related to scanning invoices and check requests and other documents provided to process associations vendor payments. Provides outstanding support in reviewing and verifying Batch IDs from Berkone System, spot check and fix rejected batches. Assist AP team open and sort daily incoming invoices from USPS mails and electronic in house invoices. Responds to auditors request related to associations audits, retrieves AP documents from AX archive and AP file folders. Must be an excellent team player, has the ability to multi task and enjoys working in a fast-paced working environment.

Cash Management - File Clerk

The Cash Management File Clerk is responsible for all actions related to client association’s records primarily in the area of organizing, filing, and archiving such records. The accuracy and timeliness of the clerk’s actions, teamwork and positive cooperative attitude is essential to the clerk’s success. Duties include opening and sorting daily mail, maintaining logs, and responding to inquiries. The file clerk will also fulfill document requests from auditors and other special tasks. Organizational skills, time management, and communication skills are highly preferred.

Community Association Manager

The Community Association Manager is responsible for managing and supporting a portfolio of community associations in all capacities, such as maintenance, financial, and compliance while emphasizing and delivering superior customer service. Should be able to attend board meetings in the evening and have Computer skills with a working knowledge of Microsoft Office applications. Experience with budgets and reading/understanding financial statements is helpful.  The ability to multitask, organize and maintain projects is part of the essential functions of the position.

Provide Office support to Administrative Assistants with daily work orders, and responsible for postal functions including: opening, sorting and distributing mail.  Operates office equipment and prepares mail outs for posting and mailing (stuffing, folding, sorting and labeling).  The position also reconciles monthly inventory and assists in the lifting and moving of file boxes.
